THE OPPORTUNITY
This role provides visibility, forward planning and actionable insights that enable Medialab to deliver against client scope while protecting margins and supporting our people. To ensure all client facing and enablement teams are resourced accurately and efficiently, balancing scope, capacity and skills while driving commercial efficiency.
WHAT YOU'LL BE DOING
Resource Management
- Map every client’s scope of work into accurate FTE plans, that are updated on a monthly basis and align with the phasing of client activity.
- Continuously adjust resource plans, in collaboration with our Client Managing Directors, Business Directors and other senior stakeholders, based on campaign peaks troughs and overall client needs, recommending internal moves or redeployment.
- Ensure and facilitate resource moves are implemented smoothly and effectively, providing clear communication across our senior leaders.
- Partner with Team Leads and Managers to ensure the right people are working at the right level, on the right tasks and at capacity for each client.
- Monitor and identify over-servicing/under-servicing across client accounts and provide clear recommendations on resourcing changes (e.g. redeployment, internal moves, cross-team support) and addresses issues with senior leaders.
- Understand potential resourcing impact of new business & organic growth opportunities being converted, forward plan and make recommendations in terms of resource required.
- Drive consistency in workload management across client teams to reduce last-minute resourcing fixes.
- Build a clear view of availability, skills and experience within teams to inform resourcing decisions.
- Track and report the outcomes of resourcing changes to ensure actions are implemented effectively and deliver the intended impact.
Reporting & Commercial
- Own timesheet data reporting and analysis, ensuring systems are fit for purpose and timesheet completion is accurate and compliance is upheld across the business. Highlight under/over-servicing trends.
- Produce regular (weekly/monthly/quarterly) management information and insights on utilisation, resourcing gaps and client profitability for senior leadership and the board.
- Provide actionable recommendations from data (e.g. comp ratio drivers, efficiency improvements, internal movement).
- Identify underutilised resource that can be used across clients or to focus upsell opportunities based on availability.
- Measure and report on efficiency improvements delivered through better resourcing.
Process & Platforms
- Review and recommend resourcing process improvements and resource management tools that improve inefficiency and insight across Medialab, so decisions can be made quickly and confidently.
- Create and manage a clear process for successful resource movement, ensuring decision-making responsibilities are embedded and consistently followed.
WHAT YOU'LL BRING
- Proven experience in resource management, operations, or commercial planning within a digital, media, creative or consultancy environment.
- Strong commercial acumen, with the ability to interpret timesheet data and link resourcing decisions to profitability, comp ratio targets, and client scope.
- Analytical mindset: confident using data to identify gaps, create insights, and present actionable recommendations.
- Excellent stakeholder management, able to work with senior leaders and influence decision-making.
- Strong organisational skills with the ability to juggle multiple priorities, deadlines and stakeholders.
- Skilled at workload planning and balancing team capacity, with a focus on protecting both delivery and wellbeing.
- Clear communicator with the ability to present complex insights simply and persuasively, up to board level.
- Experience using industry standard resource & timesheet platforms
- Experience of procuring, introducing and embedding new resource & timesheet platforms
- Background in an agency environment, with understanding of client scopes and FTE planning.
- Proven ability to spot efficiency improvements and embed new approaches to resourcing.
- Knowledge of succession planning, skills mapping and workforce development approaches.
- Interest in how AI and automation could support smarter resourcing and decision-making.
